Admin and Operations Coordinator
We’re Hiring: Admin & Operations Coordinator at Brown Bird & Co
Full time | Yorkshire | £27,000–£29,000 depending on experience
Monday–Thursday, 8am–6pm
We’re looking for a brilliant Admin & Operations Coordinator to join the team at Brown Bird & Co.
If you’re exceptionally organised, enjoy keeping lots of moving parts under control and are the sort of person who spots what needs doing before somebody has to ask, this could be a great role for you.
This isn’t a traditional admin job. We’re a small, busy and growing business, and this role sits right at the heart of what we do – helping to keep our vehicle builds, customers, suppliers, parts, paperwork and day-to-day operations organised and moving forward.
Who are Brown Bird & Co?
Brown Bird & Co is a Yorkshire-based specialist campervan and overland vehicle conversion company.
We design and build distinctive, high-quality conversions for vehicles including Land Rover Defenders, Mercedes Sprinters, VW Transporters and INEOS Grenadiers, with a strong focus on design, craftsmanship and vehicles built for travelling and adventure.
Our team is relatively small, which means everyone plays an important part in the business. We’re now looking for somebody who can take ownership of much of the organisation and coordination that happens behind the scenes.
What will the role involve?
You’ll work closely with the Directors and our workshop team, helping coordinate the administrative and operational side of the business.
No two days are likely to be exactly the same.
One morning you might be checking parts required for upcoming builds and chasing suppliers. Later you could be preparing customer paperwork, updating a build specification, responding to a new enquiry or making sure a staged payment has been requested.
The role will include:
-
Ordering parts, materials and equipment for vehicle builds and liaising with suppliers over availability and lead times
-
Maintaining stock and inventory records and making sure regularly used items are replenished
-
Helping coordinate vehicle build schedules, customer dates, deliveries and external suppliers
-
Preparing and maintaining customer contracts, specifications, build documents and handover paperwork
-
Managing routine customer correspondence and keeping customers updated where required
-
Responding to initial enquiries and explaining the conversions and services we offer
-
Helping filter enquiries to establish whether they are suitable for our signature builds
-
Following up potential customers and maintaining accurate enquiry records
-
Preparing standard quotations and keeping pricing and options information up to date
-
Monitoring deposits and staged payments and ensuring payment requests are issued at the correct stages
-
Updating website information including specifications, prices, build availability and FAQs
-
Maintaining organised customer, supplier, vehicle and company records
-
Logging warranty and aftercare enquiries and helping coordinate any work required
-
Supporting general accounts administration, including invoices, receipts and supplier paperwork
-
Maintaining staff administration including holidays, sickness, onboarding and training records
-
Helping maintain Health & Safety, compliance and workshop documentation
-
Supporting our attendance at exhibitions, events and shows
-
Producing simple weekly updates covering builds, outstanding orders, customer decisions, payments and anything requiring management attention
Just as importantly, we want somebody who will help us improve the way we do things.
As you get to know the business, we’d like you to identify where systems and processes could work better and take genuine ownership of making them more efficient.
What are we looking for?
You don’t necessarily need to come from the campervan or automotive industry (but this would be a big added bonus!)
What matters most to us is finding somebody who is highly organised, proactive, reliable and extremely good at keeping track of detail.
You’ll probably suit this role if you:
-
Are exceptionally organised and have strong attention to detail
-
Enjoy managing several different tasks and priorities at once
-
Are confident communicating with customers, suppliers and colleagues
-
Naturally spot things that need doing rather than waiting to be asked
-
Are comfortable taking responsibility for something from start to finish
-
Are confident with computers and happy learning new software and systems
-
Keep accurate records and understand the importance of following processes
-
Are friendly and professional when dealing with customers
-
Enjoy solving problems and getting things done
-
Are comfortable working in a small business where priorities can sometimes change quickly
Previous experience in administration, operations, purchasing, project coordination, construction, manufacturing, automotive or a similar environment would be particularly useful.
An interest in campervans, overlanding, vehicles, travel or the outdoor industry would certainly be a bonus – but it isn’t essential.
What about marketing?
Marketing isn’t the main focus of this position, but because we’re a small team there may also be opportunities to get involved with some of our marketing and content.
Depending on your experience and interests, this could include website content, email marketing, social media scheduling, blogs and our campervan competition business.
Experience in any of these areas would be useful, but it certainly isn’t a requirement.
Why is this role a little different?
This is an opportunity to become a key part of a small independent business rather than simply filling a traditional administrative position.
You’ll get visibility across almost the entire journey of one of our conversions – from the first customer enquiry and specification through to ordering components, coordinating the build and ultimately seeing the finished camper leave our Yorkshire workshop.
As you become familiar with Brown Bird & Co, we want you to take genuine ownership of many of these processes.
If you’re the sort of person who loves organising people and information, keeping on top of the details and making sure nothing gets forgotten, we’d love to hear from you.
